Recurring vs Template Journal

As a way to eliminate duplicate data entry, PeopleSoft offers recurring and template types of standard journal entries.
Standard journal entries offer the user the capability to:

Recurring journal entries are used for repetitive transactions that use the same accounting information and amounts such as leasing payments, amortization expenses, and monthly rents. Template journal entries are used for regular, periodic transactions that use the same accounting information but varying amounts such as monthly payroll, utility, and telephone expenses.

Process a Recurring Journal

Recurring journals are standard journals that are used to record repetitive transactions such as lease payments, depreciation, amortization or monthly rents.  In recurring journals the accounting information (cost center, account code, etc.) is the same and the amounts charged or credited are the same from one period to another.

The first step in processing a recurring journals is to have a model journal to use as the standard.  A model journal can be a journal that already exists or you can enter a new journal to use as the model.  To review how to enter a new journal see the Journal Entry Section.  To set up a recurring journal follow the steps illustrated below:

1.  Follow the navigation Start > Process Financial Information > Process Journals > Use > Standard Journal Entry > Standard Journal Entry> Add

2.  The Standard Journal Entry Panel will appear

3.  You should fill in the criteria as follows:

4.  Click "OK" and the Standard Journal Entry Panel will appear

5.  Fill in the criteria to create your recurring journal


6.  Click on the  Save icon to create the Recurring Journal.

Process Template Journal

Template journals are standard journals that are used to record repetitive transactions such as utility or telephone expenses.  In template journals the accounting information (cost center, account code, etc.) is the same but the amounts charged or credited may be different from one period to another.

The first step in processing template journals is to have a model journal to use as the standard.  A model journal can be a journal that already exists or you can enter a new journal to use as the model.  To review how to enter a new journal see the Journal Entry Section.  To set up a template journal follow the steps illustrated below:

1.  Follow the navigation Start > Process Financial Information > Process Journals > Use > Standard Journal Entry > Standard Journal Entry> Add

2.  The Standard Journal Entry Panel will appear

3.  You should fill in the criteria as follows:

4.  Click "OK" and the Standard Journal Entry Panel will appear


 

5.  Fill in the criteria to create your template journal

6.  For Template SJEs, if you don't indicate a schedule, the Template Journal Date field appears in the "Journal Create Entry Options" section, allowing you to enter a specific creation date for this entry. The system creates each entry with a journal header status of Not Yet Edited.


 

7.  Click on the  Save icon to create the Recurring Journal.

8.  You can then use the SJE Status inquiry panel to review the entries created and the Journal Entry Lines panel to make changes.  (See Review Journal or Correct Journal Errors for more information on modifying journal lines.)
